BTOES Health & Safety Commitment. 

We work closely with our partners the Renaissance Orlando at SeaWorld® (Marriott Property) to ensure the event is delivered to a high health & safety standard. 

Contact-Less / Contact-Lite

Contact-less check-in and self-badge printing, and contact-lite experience at the event. 

All event information will be contained in the Event App, including scheduling sessions and private meetings. 

Q&A will be facilaited via the Event App as opposed to roaming mics. 

Session evalations will be via a very short on-line form as opposed to paper evaluation forms. 

Session room doors will remain open pre-session and post session, and where viable for noise considerations, during sessions.

We encourage all attendees to greet using elbows, namaste or fists.

Social Distancing Set-up Measures

We have limited attendee numbers to BTOES to a maximum of 400 throughout the event at any one time. 

The Main Stage session room will be set-up in crescent rounds of 5 to max the space between attendees, as opposed to our pre-covid theatre set-up. 

The breakout rooms will have limited seating to up to 50% capacity to promote social distancing. 

All meeting rooms will be set up to comply with local distancing and capacity guidelines.

Exhibitors will be taking every precaution on their booths to minimize crowding and transmission.

We can cancelled the Friday site tours day to prevent close gatherings that we cannot control in enclosed spaces, with external parties. 

Lunches will be plated as opposed to buffets to avoid standing queues. 

Vacinnation Status / Personal Accountability Approach

We do not require attendees to be vaccinated to attend BTOES 2021 in Orlando. 

We have adopted a personal accountability approach, where we encourage all attendees to get vaccinated or take fast response home tests daily, and to wear face coverings where social distancing is not possible. So we ask everyone to help keep each other healthy.

Face Coverings

Face coverings are required for all attendees in indoor locations, regardless of vaccination status, when moving between session rooms or waiting in queues. They can be taken off when seated in session rooms or in the Exhibit Hall or during food & beverage functions. Presenters will not be required to wear face covering when presenting. 

We encourage the wearing of face coverings if social distancing is not possible in all locations, and if you are unvaccinated. 

All face coverings (whether disposable or reusable) should:

  • Be made with at least 2 layers of breathable material

  • Fully cover the nose and mouth and secure under the chin

  • Fit snugly but comfortably against the side of the face

  • Be secured with ties or ear loops and allow the Guest to remain hands-free

At this time, based on guidance from health authorities, neck gaiters, open-chin, triangle bandanas and face coverings containing valves, mesh material or holes of any kind are not acceptable face coverings.

Face coverings may have an integrated transparent plastic panel to aid in viewing the wearer’s mouth. These face coverings should:

  • Be a fabric face covering featuring a solid plastic panel containing no openings that is attached to the fabric on all sides using tight knit stitching

  • Meet all face covering requirements listed above

COVID-19 Warning

An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the Centers for Disease Control and Prevention, senior citizens and guests with underlying medical conditions are especially vulnerable.

By visiting BTOES you voluntarily assume all risks related to exposure to COVID-19.

Please make sure that you have reviewed any advisories or restrictions that may be in place for travel to Florida. Visit https://floridahealthcovid19.gov/travelers/ for information. By entering BTOES, you are confirming that you 

  • are not experiencing any of the following symptoms of COVID-19 identified by the Centers for Disease Control and Prevention at CDC.gov, including:

    • Fever or chills

    • Cough

    • Shortness of breath or difficulty breathing

    • Fatigue

    • Muscle or body aches

    • Headache

    • New loss of taste or smell

    • Sore throat

    • Congestion or runny nose

    • Nausea or vomiting

    • Diarrhea

  • have not been in contact with someone with confirmed or suspected COVID-19 symptoms without completing a 14-day quarantine

  • are not under any self-quarantine orders

Guests who cannot confirm all of the above criteria must not enter BTOES. If at any point during their visit a Guest does not meet all of the above criteria, they and their traveling party will be required to isolate and may be relocated or asked to leave the property.

By entering BTOES, you acknowledge that you understand and will abide by the above health-and-safety requirements. 

We also reserve the right to cancel any attendee registrations if required.
