Roundtable Facilitation Guidelines for Confirmed Speakers at BTOES 2024

The below provides instructions to roundtable facilitators at the Business Transformation & Operational Excellence World Summit (BTOES 2024).

Your session will offer a unique platform for attendees to engage directly with your insights, fostering an environment of interactive discussion and shared learning.

If you have an existing speaking session, your roundtable table topic will match this. This approach facilitates a seamless integration of the presentation into an interactive discussion, encouraging attendees to engage deeply with the session's content.

 

Your roundtable session is scheduled to run on:

  • Friday, May 10, from 2:15PM to 2:45PM

Please review the agenda to confirm  your table number assigned to you. We recommend checking back closer to the event for any updates. 

Please ensure you arrive at your designated roundtable 15 meetings prior. 

Session Format:

  • The roundtable will begin with up to 2 minutes of opening remarks from you (without PowerPoint) to introduce the topic.
  • The remaining time will be dedicated to an open discussion, allowing participants to ask questions, share their experiences, and explore the topic in depth.
  • A bell will signal the end of the session.

This roundtable session is an invaluable part of the BTOES experience, encouraging the exchange of ideas and best practices among industry leaders. We look forward to your contribution to an engaging and productive discussion.

BTOES 2024 Track Session Moderator Instructions

Welcome and Introduction

Thank you for agreeing to serve as a moderator for a track session at the Business Transformation & Operational Excellence World Summit (BTOES). Your role is crucial in ensuring the smooth flow of the track session, facilitating a seamless experience for speakers and attendees alike. Without this prominent figure, the overall track could appear disjointed and clumsy.

You will also receive a separate email introducing you to your track speakers. If you have not received these email by April 22, please email us at btoes@proqis.com 

Pre-Event Preparations

  • Please view your track session at https://btoes.com/agenda We recommend you re-check this on the week prior to your arrival and on arrival, as there may have been further adjustments and new speakers added. 
  • Speaker Introductions & Q&A Preparation: Request a brief bio from each speaker (no more than three lines) to introduce them efficiently. Also, obtain at least three questions for the Q&A segment to facilitate audience engagement, in-case of no questions from the audience.
  • Speaker Coordination: It is recommended to meet with your speakers before the event, either the day before your session or via a pre-event Zoom call, to discuss their presentations and the Q&A segment.

 

During the Event

  • Meet All Your Speakers: We recommend you arrange a time to meet at the venue, ideally the day prior to your track day. The objective is to fine-tune intros, glean some additional facts on their presentations, and prepare insightful questions during potential Q&As.
  • Please be in the room in the morning or breaks before the session resumes in order to meet each speaker as they arrive.  
  • Presentation Management: In the morning ensure all speaker presentations are loaded and correctly labeled on the session room laptop well before the session starts. Encourage speakers to review their presentations in the morning prior to sessions starting for the day or during a break prior to their session. If speakers have embeded videos in thier presentation ensure they have the respective speaker has brought along loudspeakers. If a presentation is missing, please contact the speaker to check the status, and to ensure their presentation is put on the laptop ASAP. This is important for a smooth and seamless event experience for attendees (and you).
  • During the Session: Arrive in the room 15 minutes prior to the start of sessions and during breaks to meet speakers. Manage the transition between presentations smoothly.
  • Introduce the Speakers in your track
  • Timing: It is of the utmost importance that you run to time. Each track session is strictly 30 minutes in duration to ensure a smooth changeover between sessions in all tracks. This is key, as we have parallel tracks and lots of activities taking place. It is imperative all completion and start times are synced, for attendees to experience the networking opportunities.  Check timings on the online agenda. At breaks please announce re-convene times, so everyone is back on time.
  • Lead the Q&A at the end of the presentation, and have 2 or 3 questions prepared in case of silence from the floor. Check with the speakers, generally they should leave a good 5-10 minutes at the end for Q&A. 
  • Gaining feedback during breaks - and passing on to BTOES@proqis.com for the team to react to immediately if required or to implement for future events.
  • Coming equipped with some exercises (such as brainstorming) to use in the unlikely event of any technical difficulties or the speaker does not show.
  • Announcing activities after and outside of your session, and where and when they are taking place, e.g. lunch, roundtables, the awards reception & ceremony etc. Please also study the agenda in detail to be aware of the announcements you should make for events taking place outside the session room.
  • In the breaks, please put up the BTOES slide or open the next presentation prior to the next season starting, so it is ready to go. We do not want speakers fumbling around for their presentation USB, trying to load it, finding it does not work, or worst still forgetting to bring their presentation. This is embarrassing for everybody concerned.
  • Acting as an Ambassador for BTOES during the event, encourage attendees to take part in all aspects of the event, facilitate a positive experience, encourage attendance to functions, and generally create a positive upbeat atmosphere. 

 

AV Support

There will be no AV technician present in the track rooms. 

AV will be available permanently present in the Main Stage Session room (Peninsula 1-3) from Wednesday.

Strictly No Sales Pitches

This role is strictly a moderating role, and no sales pitches should take place from you. This is a sure way to at the very least disappoint your audience. Expertise and thought leadership is your focus. In our experience this leads to building the right relationships with attendees. Attendees are always put off by sales pitches in a session environment, and reflects very poorly on the organization. Your subject matter expertise will impress an audience far more readily.

Poster Presentation Judging Instructions for BTOES

Thank you for agreeing to serve as a judge for the Poster Presentations at the Business Transformation & Operational Excellence World Summit. Your expertise and insights are crucial in recognizing the most impactful contributions to our field. Please note the updated schedule and location details for the judging process:

Judging Schedule:

  • Poster Presentations will be displayed starting at 5:00 PM on Wednesday, May 8, 2024.
  • Judging is to commence from Thursday, May 9, 2024, and must be fully finalized by 10:30 AM on Friday, May 10, 2024.

Judging Materials:

  • You will be emailed a Poster Scoring Matrix for recording your individual scores for each presentation and a Compiled Results Matrix to calculate the grand total scores.

Judging Process:

  • Aim for a minimum of two judges' scores per Poster Presentation to ensure a good evaluation.
  • We advise judges to meet either on Wednesday evening or Thursday morning to distribute the presentations evenly for judging.
  • In the matrices, please include the title of the poster presentation next to the name of the organization, especially for organizations with multiple submissions.

Submission of Scores:

  • The completed Poster Scoring Matrix sheets should be submitted to the Customer Service Counter, or you can email the final Compiled Results Matrix to BTOES@proqis.com by 10:30 AM on Friday, May 10, 2024.

Winner Announcement:

  • The Poster Presentation winner will be announced at precisely 3.05pm on the Summit Main Stage room on Friday, May 10, 2024.
  • All judges will be invited on stage for acknowledgment, and the selected judge or judges (to be decided among yourselves) will announce the winner.
  • You will be provided with the prizes to present to the winner. Judges have the option to make a succinct comment on the winning poster presentation or simply announce the winner and present the prize.
